How to Score
Rate each statement honestly. The goal is to identify where AI can help most, not to score perfectly.
Category 1
Our practice management software (Open Dental, Dentrix, Eaglesoft, etc.) is current, cloud-connected or API-accessible, and reliably maintained.
Our core business systems (EHR, imaging, billing, scheduling, communications) are integrated or share data - rather than operating as disconnected silos that require manual transfer.
Our network infrastructure (internet, Wi-Fi, servers, workstations) is stable, current, and has sufficient capacity to support additional cloud-based or compute-intensive applications.
Category 2
Our patient records, billing data, and operational data are digitized, organized, and stored in structured systems - not scattered across paper files, personal drives, and random spreadsheets.
We have consistent data entry standards (naming conventions, required fields, coding accuracy) across staff members and locations.
We can access and export our practice data when needed for reporting, analytics, or integration purposes - we are not locked into a single vendor with no data portability.
Category 3
Our staff spends significant time on repetitive manual tasks such as data entry from forms, insurance verification, appointment reminders, recall outreach, or report generation.
We can identify at least 3 specific workflows where errors, delays, or bottlenecks are caused by manual processes that could potentially be automated.
We have documented (or could document) the step-by-step procedures for our most common administrative workflows - patient intake, billing cycle, referral processing, etc.
Category 4
We have a current, documented HIPAA compliance program that includes policies, risk assessments, Business Associate Agreements, and staff training.
We understand the data handling requirements for any new technology we adopt - including where data is stored, who can access it, and how it is protected.
Our IT provider or internal team can implement new tools with appropriate access controls, audit logging, and data encryption without a major overhaul.
Category 5
Practice leadership (doctors, office manager, COO) is open to adopting new technology and has allocated time to evaluate and oversee implementation.
Staff members are generally comfortable learning new software tools and have successfully adopted technology changes in the past (new EHR, digital forms, online scheduling, etc.).
